Overview
If you're using Purchase Order numbers, you may want to use these as part of your internal reporting. as This article shows you how to extract the $ value that has been charged to a client against a PO Number/Work Order at a point in time.
Export the Data
- Go to > Reports > Management > Estimated Profit Report
- In Report Settings, enter transaction dates for the life of your Astute portal (which will show all time), or enter the dates related to the time a PO was effective for:
- Click Go
- Click Export > Export Detailed CSV
Create a Pivot Table in Excel
- Open the CSV and filter column AK ‘Type’ to show only ‘Charge’ Rows
- Remove/Delete the columns you do not require for this exercise. You need to keep the following columns:
- Customer Name (AH)
- PO Number (BB)
- Charge Items (BI)
- Income (BP)
- In the next available blank column, click on row 1
- Click Insert > Pivot Table
- The pop-up will provide the required default settings:
- Click OK
- Set your pivot table to the following settings:
The resulting data will show you the PO Number alongside the total amount invoiced against that PO.
