Review an Expense
You can review any outstanding expenses in the Expense Status report. The report can be accessed in one of three ways:
- Click ‘View Expense Status Report’ in the Expenses Summary on your Dashboard
- Go to Payroll > Status Reports > Expense Status Report
- Go to Reports > Payroll > Status Reports
By default, the report will show all outstanding expenses (ie expense reports with a status of Submitted or Approved).
Expenses will be labelled with one of the following statuses:
|The report has been created by an employee but hasn’t been submitted for approval
|The report has been submitted and is awaiting approval by an Approver or Admin
The expense report has been rejected
If the expense was created by an employee, it will be returned to them for review and resubmission
|The expense report is approved and ready to be processed in a pay run
|The expense has been processed in payroll
Approve or Reject an Expense
To approve or reject an expense from the Expense Status Report:
Select the expense report by ticking the checkbox.
Click With Selected…
In the Mark Selected As drop-down, select ‘Approved’ or ‘Rejected’.
You can see a summary of the expense details by clicking the Report Name in the expense you would like to view.
Approve an Expense in a Timesheet
Expenses which have been submitted as part of a timesheet will be automatically approved when the timesheet is approved.
