Review an Expense
You can review any outstanding expenses in the Expense Status report. The report can be accessed in one of three ways:
- Click ‘View Expense Status Report’ in the Expenses Summary on your Dashboard
- Go to Payroll > Status Reports > Expense Status Report
- Go to Reports > Payroll > Status Reports
By default, the report will show all outstanding expenses (ie expense reports with a status of Submitted or Approved).
Expenses will be labelled with one of the following statuses:
Pending Submission | The report has been created by an employee but hasn’t been submitted for approval |
Pending Approval | The report has been submitted and is awaiting approval by an Approver or Admin |
Rejected |
The expense report has been rejected If the expense was created by an employee, it will be returned to them for review and resubmission |
Approved | The expense report is approved and ready to be processed in a pay run |
Payment Authorised | The expense has been processed in payroll |
Approve or Reject an Expense
To approve or reject an expense from the Expense Status Report:

Select the expense report by ticking the checkbox.

Click With Selected…

In the Mark Selected As drop-down, select ‘Approved’ or ‘Rejected’.

Click Submit.
You can see a summary of the expense details by clicking the Report Name in the expense you would like to view.
Approve an Expense in a Timesheet
Expenses which have been submitted as part of a timesheet will be automatically approved when the timesheet is approved.
