Compliance Profiles
To create a compliance profile:

Go to Config > Compliances > Profiles > Create New Profile.

Enter a Profile Name.

Tick the ‘Enabled’ checkbox if this profile should be available to assign to users.

Tick the ‘Allocated by System Default’ checkbox if the profile should be assigned automatically to any users who match the Applies To and Allocated to User Types criteria.

Enter an Active Beginning On date.

Select which users and user types the profile will apply to, by ticking the checkboxes in the Applies To and Allocated to User Types sections.

If you select ‘New Users’ or ‘New Jobs’ you will need to nominate a ‘Created After’ date. The compliance profile will be active on any Jobs or users created from that date onwards.

Select which documents to include by ticking the checkboxes in the Documents Included section. If no documents have been set up in Config > Compliances > Documents, this section will be empty.
- Click Save.
Assign a Compliance Profile to a Customer
Compliance profiles can be assigned in Users > Customers > select the customer > Compliance. You’ll be able to assign a profile to all workplaces within a Customer profile, or you can specify a different profile for each workplace.
When you select a workplace or view All Workplaces, you can tick the checkboxes for each compliance profile that appears to set the system defaults for the customer and workplace.
Once you have set the preferences for the workplace, click Save.
Assign a Compliance Profile to an Employee, Approver or Staff/Admin
You can manually assign a compliance profile to a user profile. To do this:

Go to Users > select the user type > select the user > Compliance.

Select the profiles listed under ‘Allocated Compliance Profiles’ that you would like to assign to the user.
- Click Save.
Each user profile also includes a record of Document Compliance, listing the documents that have been assigned to that user and the acceptance status.
Accept a Compliance Document
Users will see each new compliance document the next time they log in after it has been assigned to them.
Once the user has read and acknowledged the document, they can tick the relevant checkboxes and click ‘Agree’.
If a user selects ‘Disagree’ for a compliance document, they will be logged out of their portal. Users will be unable to access their portal to submit timesheets or make changes to their profile if they have outstanding compliance documents to acknowledge.
