Overview
Custom forms are custom web pages built into your Astute platform and presented to your employees via their portal. This is a paid function in Astute. If you'd like more information on this, please contact Support.
Each custom form is an individual page that contains the fields that you need your employee to respond to. You can present multiple custom forms to an employee.
Custom forms can be used to capture payroll onboarding information required by third party payroll systems in regions where Astute is not paying the employees (ie outside of Australia and New Zealand)
Custom forms are assigned based on the region of an employee’s Pay Through Entity. If you have multiple Pay Through Entities (outside of Australia and New Zealand), you can create and assign multiple sets of custom forms.
This allows you to capture and pass on different information for different regions.
Employee Access
The forms replace the majority of Astute standard payroll forms and are presented to employees in their portal.
Some standard fields in Astute will remain available for the employee, under a new Payroll Admin section.
All fields in a custom form can be edited by employees and cannot be locked down.
These forms are built to order, and so we require the exact requirements. We don’t have ‘standard’ forms for other entities.
Visibility in Astute
Custom forms have limited visibility in Astute, as they are designed to capture information and pass it on to the local payroll system or provider.
As such, custom form data will not appear in any reports, nor will it be considered to determine whether an employee is ‘Payroll Ready’.
API Access
Custom forms are not supported by the API. Data in the forms is intended to be captured directly from the employee.
If data needs to be transferred from your RMS, then this will need to be connected with standard fields in Astute.
The standard fields in Astute include a range of Custom Fields. These fields are different to custom forms and are described as Custom Field 1-5 on the employee and on jobs.
