Overview
When a new employee profile is created, there are a few things that need to be completed before that employee is considered ready to be included in a pay run. You can see these fields in the Payroll Ready Report.
Mark Employee as Payroll Ready
When you’re satisfied that the necessary information has been recorded in an employee’s profile, you can mark them as Payroll Ready:
-
Go to Payroll > Status Reports > Payroll Ready or Reports > Payroll > Payroll Ready
-
Select the employee.
-
Click With Selected… > Mark Selected as Payroll Ready > Submit.
Employees that are flagged as incomplete in the Payroll Ready report can still be marked as ‘Payroll Ready’.
You can mark an employee as Payroll Ready from within their user profile as well, however, this will not give you visibility of the fields like the above reports will.
To do this from the profile:
-
Go to Users > Employees > select the employee > More > Payroll Admin
-
Tick the Payroll Ready checkbox.
-
Click Save.
If you choose to mark them as Payroll Ready this way, the action will be captured in the User Updates report.
Mark an Employee as Not Payroll Ready
You can mark employees as ‘Not Payroll Ready’ if they haven’t provided the minimum required information to be processed in payroll.
Generally, this will not prevent the employee from being included in a pay, so you will need to monitor this manually. However, if employees are linked to a Master Timesheet or have the Receipt of Funds option to prevent payment enabled, they will be excluded from pay runs.
To mark an employee as Not Payroll Ready:
-
Go to Payroll > Status Reports > Payroll Ready.
-
Select the employee.
-
Click With Selected… > Mark Selected as Not Payroll Ready > Submit.
