Overview
The Payroll Ready report is used to check that mandatory payroll and compliance data has been entered for each employee, so that payroll and timesheet processing can commence.
It can be accessed from two different places:
- Reports > Payroll > Payroll Ready
- Payroll > Status Reports > Payroll Ready
The report will flag any missing or incomplete data that may impact the running of payroll and includes employees’ personal, banking and tax details and compliance documentation.
Employees can be marked as Payroll Ready when you determine that they have the necessary information entered in their user profile to successfully include them in a pay run. It’s a business decision when an employee is ‘Payroll Ready’, so you can use this report to help determine the basic information that is required for each employee.
If an employee is not marked as Payroll Ready, they will be alerted each time they log into their portal and will receive automated reminder emails every Monday, Wednesday and Friday until their details are updated.
Induction Completed Data
The Induction Completed column will display as ‘No’ for employees with incomplete profile data. You can click the ‘+’ icon to view which fields have not been completed.
The report will only check for specific fields in the employee profile:
- Date of Birth
- Phone Number
- Mobile Number
- Street Address
- Town/Suburb
- Account Name
- BSB Number
- Account Number
- Tax File Number
You can enter information for any missing fields into the report and the system will apply this against the employee profile. You’ll also be able to navigate to the employee profile and enter data directly by clicking on the employee’s name.
You can use your own discretion with phone numbers. If employees have provided you with a mobile number, you may choose to mark them as Payroll Ready even if they have not provided you with a landline number, for example.
Compliance Signed Data
The Compliance Signed column shows if the employee has any assigned compliance documents that have not been accepted.
Tax Details Provided Data
If electronic tax file number (TFN) declarations have been switched on in your portal, you’ll be able to check for any incomplete declarations.
The Payroll Ready report will identify the TFN details that have been entered and the current status of the employee’s TFN declaration.
You can click ‘Incomplete’ in the Status column to be directed to an employee’s TFN Declaration.
Export Options
You can export the Payroll Ready report in .csv format. The exported file will include the following data:
- Name
- Is Payroll-Ready?
- Induction Completed
- Compliance Signed
- TFND
- Job Start
