Overview
Astute Payroll has functionality that allows you to record a different Transaction Date for reporting purposes for both pay and billing data.
When this functionality is switched on, a Transaction Date field will appear in both payroll and invoicing functions in addition to the standard Pay Date or Invoice Date fields.
This functionality allows you to manage your internal reporting period requirements while also adhering to external legislative requirements.
To enable the Transaction Date functionality in your portal, please contact Support.
Actual Dates vs Transaction Date
The Pay Date and the Invoice Date are considered ‘Actual Dates’: the date an action is said to have occurred. The Transaction Date is a manually set reporting date.
With the Transaction Date functionality switched on, you can set a different Transaction Date to the Actual Date. Without this functionality, your Transaction Date will always be the same as your Actual Date.
Key System Dates
Timesheet Date |
The date that describes the timesheet. Depending on your configuration, this can be either the ‘first day on the timesheet’ (for week beginning) or ‘last day on the timesheet’ (for week ending). This is automatically defined based on the timesheet and is used in multiple reports for identifying the timesheet. |
Invoice Date |
The date on the invoice. Can be set in:
Used on the invoice and in reports to identify the invoice date. |
Pay Date |
The date on the pay run. Can be set in:
Used on the pay run and to determine when payroll calculations such as superannuation are determined. Also used in reports to identify the pay date |
Payroll Transaction Date |
The Payroll ‘reporting’ Transaction Date. Can be set in:
This is a reporting date only. Used in limited places in the system:
* Transaction Dates are not used as the reporting date in the Xero and MYOB integrations |
Invoice Transaction Date |
The Invoice ‘reporting’ Transaction Date. Can be set in:
