Overview
Employee pay advices are available to send to employees once a pay run has been locked and the bank file for the pay run is exported.
Send a Pay Advice
To send pay advices:

Go to Payroll > Process Payroll > Employee Pay Advices

Tick the checkbox for each employee that you would like to send a pay advice.
- Click With selected Pay advice… > Send Pay Advice > Go.
Once a pay advice is sent to an employee, the status will update to Sent. Employees will also be able to view their pay advices in the Profile tab of their portal.
By default, the Employee Pay Advices screen will not show Sent pay advices. If you need to view or resend a Sent pay advice, you will need to update the Report Settings > Status field to ‘Sent Pay Advices’.
You can view a list of employee pay advices in the Reports > Payroll > Employee Pay Advices report.
Individual pay advices can be viewed and sent by clicking View. A popup window will preview the pay advice, which you can then print, save as PDF or email to the employee.
Leave Balances on a Pay Advice
A leave balance will display on an employee pay advice if the leave category has been configured to ‘show balance on payslips’.
The leave balances section will include three columns:
- Leave Type - the name of the leave category as it has been configured in your portal
- Balance - the current balance for the leave type. This can be a dollar value (eg Holiday Pay, Annual Leave - Taken in Advance conversion) or a number of units (eg Annual Leave - Entitlement)
- Units Taken - the number of units that have been taken
View Pay Advices in an Employee Profile
The Pay Advices tab of the employee profile is a record of the pay advices that have been generated in your portal for the employee. By default, these will show in descending order from the most recent.
You can click View to preview a pay advice, or to send it via email, download a PDF, or print a copy.
The With selected Pay advices... dropdown menu allows you to send or exclude pay advices to the employee.
Please note that pay advices will be watermarked with DRAFT if the pay run they are included in has not been marked as Paid.
