The Leave Balances Report is available for Staff/Admin users, Employees, Recruiters, and Leave Approvers. A different version of the report will be avaialbe depending on your user type.
Staff/Admin users will need payroll permissions to view the Reports > Payroll > Leave Balances report.
The report will list each leave category assigned to an employee separately, displaying both the Current and Available Balances:
- The Current Balance is the Leave management ledger balance.
- The Available Balance is calculated as the Current Balance minus any leave that has been submitted, approved and processed.
If you have configured leave categories to ‘Display balance in Hours with Week Conversion’, the on-screen report will include both hourly and weekly balances.
Leave categories with an Accrual Method of ‘NZ Percent of Gross Earnings Conversion’ will display two balances:
- The current balance is the number of hours the employee has taken in the leave year (ie before the balance resets and accrual is converted into annual leave entitlement)
- The available balance is the Percent of Gross Earnings Conversion hours minus the number of hours that the employee has taken in their ‘current balance’.
You can export the Leave Balances report as a .pdf or .csv. The .csv download will show all on-screen data as well as the Employee ID and Leave Liability GL Code.
Employees can view their own leave balances in Leave > Leave Balances. You will be able to see the current leave balances for any leave categories which have been assigned to you.
If your leave categories are configured to ‘Display balance in Hours with Week Conversion’, you’ll see your leave balance in both hours and weeks.
You can export your leave balances in .pdf or .csv format.
Leave Approvers can view leave balances in Leave > Leave Balances. The report will include the leave balances for any employees assigned to you for leave approval.
Each leave balance line will show the category name, current balance and available balance.
You can export the leave balances as a .pdf or .csv.
Recruiters can view the Reports > Payroll > Leave Balances report. Your version of the report will include any employees who have been linked to you, with a separate line for each different leave category assigned.
