Overview
This article outlines the integration between Astute Payroll and CashD, who provide real-time remuneration for employees, giving them the freedom to access their pay at any time during their pay cycle.
Below is some general information on how the integration works and what you'll need to do if you're interested in having this integration enabled in your portal.

Set Up the CashD Integration
While CashD will provide training to you on how the process works, since most of the functionality sits with them, you'll need to configure two deduction items in your Astute portal for the CashD Capital and the CashD Fee.
You'll add these deduction items to an employee's pay in Process Payroll if they have made a withdrawal using CashD within a pay period. The deductions that you add to their pay will balance out the amount that they have withdrawn.
To set up the deduction items, go to Config > Payroll > Deductions > Add New Deduction, and set your items up as below.

Add a Deduction to Payroll
Once a pay period ends and all withdrawals are closed off in CashD, you will be able to export a report from CashD that details which employees withdrew money during the period.
Using this report, you will need to manually add the two deduction items that you've created (CashD Capital and CashD Fee) in Payroll > Process Payroll > Process Payroll. These deductions are added to an employee's pay to recoup the money that they have already withdrawn.
Add the Deduction Items on the Employee Profile
Before you can assign the deduction to an employee in Process Payroll, it will need to be added to their profile.
- Go to Users > Employees > select the employee > Pay Items.
- Under Deductions, select Add Deduction and choose 'one of the deduction items you've created from the dropdown list. You do not need to add any dates or values at this stage.
- Click Save.
- Repeat the above process, selecting the second deduction item in the Add Deduction screen.
You will only need to do this once for each employee: once a deduction is added on their profile, it can be assigned to their pay in Process Payroll whenever they've used CashD to make a withdrawal.
Add the Deduction to a Pay
Once the deduction items have been added to the employee's profile, you can add the deduction into the relevant pay in Process Payroll.
After the employee's timesheet is finalised in Pay Conditions:
- Navigate to Payroll > Process Payroll > Process Payroll and choose the relevant Pay Cycle.
- Click on the + icon to expand the employee's existing pay.
- Click +Add Pay Record to add the deduction items.
- In the Item Type dropdown, select Deduction, then select the CashD Capital item from the list, enter the relevant amount and the Start and End date of the applicable pay period, and click Save.
You will need to repeat steps 3 and 4 to add the other CashD deduction item, entering the relevant values and dates when you do.
Once both deduction items have been added, they will appear in the employee pay. You can continue processing the employee's pay following your usual process, and make the relevant payments to CashD as required.
Other Considerations
There are a couple of other important things to keep in mind when you're using the CashD integration.
Importing New Employees
The CashD-Astute integration uses the MID (Astute Employee ID) as the connector between the two systems.
Each time you import a new employee into CashD, you'll need to ensure that the MID is included as part of the import in order for the integration to work.
Access to Employee Information
As information is being sent across to CashD, the integration will have access to some of your employees' personal information.
Once an employee accepts CashD's Terms and Conditions, the integration will access some information (Name, Email Address, Mobile Phone, Bank Details, and Pay Rate) in order to surface these details into CashD and calculate the balance that the employee has available for withdrawal at any time.
The integration will also be able to read employees' timesheets in Astute, including the amount of hours or days worked, and the status of the timesheet.
