Overview
A charge item is used to denote what a Customer is charged for when they are billed or invoiced, where the Pay Item is not going to be used. You can view and manage the charge items set up in your portal from Config > Invoicing > Charge Items.
Add a Charge Item
To add a charge item:
- Go to Config > Invoicing > Charge Items > Add New Charge Item.

Select a Region > Create new Charge Item. (If your portal only has one region enabled, the Region popup window won’t appear.)

Enter the details for the charge item as required.

Click Save.
When you configure a new charge item, you will need to ensure that the following information is entered:
Name |
A unique name to identify the charge item when it assigned or used for reporting |
Description |
A brief, optional description of what the charge item is or will be used for |
Charge Basis |
How each line item should be charged in an invoice:

Rate Multiplier |
When associated with a charge rate, the rate will be multiplied by the Rate Multiplier that is entered here. Fewer charge rates will be required in the entity, as items such as overtime charges can be calculated using this multiplier instead. |
Additional Charge Amount |
An amount to be included in conjunction with the rate multiplier (ie an amount added on top of the multiplier calculation. For example, a Base Charge Item has a rate of $10.00 and a Saturday Charge Item has a rate multiplier of 1.40 and an Additional Charge Amount of $2.50. The effective rate for this charge item would be ($10.00 x 1.40) + $2.50 = $16.50/hr. |
Tax Applicable on Invoices |
The invoice tax item that should be applied to the invoice The options that appear in the drop-down come from the Config > Invoicing > Invoice Taxes list Only Invoice Taxes matching the charge item’s Region will appear for selection |
Charge Currency |
The currency that the charge item should display in. Defaults to the currency for the region that you select for the charge item. |
Invoice Item Type |
The Invoice Item Type that will be associated with the charge item Ticking the ‘Force over job/employee’ checkbox will overwrite any settings on the employee profile or Job with the item type you have set here. |
Cost of Goods |
Can be set as Cost per unit (with a decimal value entered) or Percentage of Net (with a % entered) |
Income Account Code |
The income account linked to the charge item Ticking the ‘Force over job/employee’ checkbox will overwrite any codes entered on the employee profile or Job with the account code you set here. |
If you are applying charge items to a pay rule, you will need to ensure that they are both linked to the same regulatory region.
Edit a Charge Item
The settings for a charge item can be edited by following the steps below:

Go to Config > Invoicing > Charge Items.

Click on the charge item Name

Edit the fields as required.

Click Save.
Once a charge item has been linked to an invoice or invoiceable item, the Tax Applicable on Invoices and Charge Currency fields will lockdown and cannot be edited.
Delete a Charge Item
You can delete a charge item if it hasn’t been used in Invoicing or assigned to a Pay Rule.
To delete a charge item,

Go to Config > Invoicing > Charge Items.

Tick the checkbox to the left of the charge item Name.
- Click ‘With selected charge items…’ > Delete.
