Projects and Activities is an additional function that can be enabled in your portal. Once enabled, it can be used in timesheets, to allocate time to particular activities linked to a project.
When projects and activities have been included as part of a finalised timesheet, the system will generate invoiceable items for each project or activity.
Projects and Activities in Timesheet Invoiceable Items
To view an invoiceable item, go to Invoicing > Invoiceable Items. You can see the project and activity details associated with an invoiceable item by clicking the + icon.
Projects and Activities in Manual Invoiceable Items
Items that are manually created from Invoicing > Invoiceable Items > New Items can be allocated a project and activity.
When you create the item, you will need to fill out the Customer field before the Project Management field will populate.
The options in the Project Management drop-down list will be filtered based on the Customer that you select. You can refine the list further by selecting the Employee and Job.
Projects and Activities in an Invoice
In an invoice, the project and activity details will appear in the Description of the line item and in the Reporting Data section.
You can edit the Description to modify how the line item will appear in the invoice, however the Reporting Data fields will be locked and preset with data from the timesheet.
Projects and Activities in a Manual Invoice
Invoices that are manually created from Invoicing > Invoiceable Items > New Invoice can be allocated a project and activity in the Project Management field.
The options in the Project Management drop-down list will depend on what you have set in the Customer and Job fields, in the following order:
- When a Customer is set in the draft invoice, only projects and activities assigned to that Customer will appear
- If an employee and Job are set in the draft invoice, only projects and activities enabled on the employee’s profile will appear
