Overview
Transaction Dates are an optional setting that can be enabled in your portal, used to set a reporting date for payroll and invoicing as these items are processed.
By default, the Transaction Date will be set as today’s date. You can manually change each Transaction Date as required.
When you create a pay run or invoice, the items that you include will all be allocated to the Transaction Date that you set.

Transaction Dates in Payroll
To set the Transaction Date in Process Payroll:

Go to Payroll > Process Payroll > Process Payroll.

Click the relevant Pay Cycle or set the filters.

Check all pays are correct, then select the pays you would like to add to a pay run.

Click Create Pay Run and set the required Pay Date.

Set the Transaction Date.
- Click Create Pay Run.
Transaction Dates in Invoicing
Selecting the data you would like to set the Transaction Date for will depend on how you want to manage your data.
If you are trying to align your reporting on a ‘timesheet week ending’ basis then you will need to filter your invoiceable items on this basis. To do this:

Go to Invoice > Invoiceable Items.

Click Report Settings.

Change the Date filter to ‘Select Date Range’ and enter the From and To dates which cover the timesheet week you require.

Click Go.
The filter setting will display all invoiceable items that have an ‘Invoice On’ date within the defined range. If you only want to include a certain type of Invoice Item, you can use the ‘Invoice Item Type’ filter to specify.

Check that the Invoice Item are correct, then select the items to add to the invoice.

Click ‘With selected Invoiceable Items…’ and set the Invoice Date.

Set the Transaction Date.

Click Go.
Invoice Write-offs
If Transaction Dates are enabled in your portal, you’ll also need to set a Transaction Date when you write off an invoice.

Go to Invoicing > Outstanding and click on the Invoice Number to open an invoice.

Click Write-off Options.

Select the write-off option.

Enter or select the Transaction Date.

Click Record.
