Your employer may require you to fill out an online timesheet in Astute. If so, you can do this within your employee portal in the Timesheets tab. Once you've completed the timesheet, you'll need to submit it for approval so that it can be reviewed and processed through payroll.
Before you submit your timesheet, ensure that you check that the information you've entered is correct, including the following:
- If your employment is finishing during the timesheet period, tick the ‘My employment finishes this week’ checkbox to notify your approver or employer.
- If you have sustained a reportable workplace injury for the period, change the ‘I did not’ drop-down field to ‘I did’ at the bottom of the timesheet. This should be done in addition to OHS requirements and processes put in place by your employer.
- If you did not work any hours in the timesheet period, tick the ‘I did not work for this period’ checkbox.
If your timesheet contains hours for one job only, submitting the timesheet will send a notification to the user who has been set up as your Primary Approver.
If you have entered hours for more than one job on your timesheet, you will be prompted to select which jobs you would like to submit from the popup window when you click Submit. Choose the jobs that you would like to submit, then click Confirm.
Any jobs that are not selected for submission at this point will be saved so that you can submit them later. The status of these timesheets will be 'Pending Submission'.
Reset a Submitted Timesheet
Once you have submitted a timesheet for approval, you won't be able to edit it.
If the timesheet is showing as Pending Approval and you need to make changes, you'll need to contact your Approver directly so that they can reject it first. Once it is rejected, the timesheet will reopen in your portal so that you can edit the information as required and then resubmit.
If the timesheet is already approved, it can only be reset by an administrator (ie a user who manages payroll and user access for the entire portal). To make changes to your timesheet, you will need to reach out to the administrator directly.
Please note that Astute Payroll is not able to reset or reject timesheets on behalf of your approver or administrator. We are the software provider only and do not manage payroll processing for your portal.
