Overview
Invoices are generally created from invoiceable items generated from timesheets or expenses, however, there are times when they may need to be created manually.
A System Administrator, Finance Administrator or Finance Officer can create a manual invoice from any of the following reports:
- Invoicing > Invoiceable Items
- Invoicing > Drafts
- Invoicing > Search Invoices
To create a manual invoice:

From one of the above reports, click New Invoice.

In the blank invoice template, enter the invoice data.

Click Create to save the invoice as a draft.
Select Recipients for a Manual Invoice
When you select the Customer in the invoice template, the email address from Users > Customers > Billing Groups > Primary Email Recipient will autofill in the Recipient field.
You can enter additional recipient email addresses by clicking the drop-down arrow in the Recipient field and manually typing the email address into the ‘CC email addresses’ field.
Currency in a Manual Invoice
In portals where only one currency is enabled, this currency will automatically apply to any manually created invoices.
If your portal has multiple currencies enabled, you will need to set the Currency from the drop-down list in the invoice.
Create an Invoice with a Negative Value
Creating an invoice with a negative value will also generate a credit note. The credit will be available to apply against future invoices for the same customer.
Credits can be made against Paid invoices with the amount either refunded to the customer or kept as a credit note for payment on future invoices.
