The Leave Balances report is available for Staff/Admin users, Employees, Recruiters and Leave Approvers, with a different version of the report visible depending on your user type. This report will only appear in portals where the Leave module is enabled.
Admin users with payroll permissions can view the leave balances for all employees in the entity in Reports > Payroll > Leave Balances. Each leave category assigned to an employee will appear on a separate line in the report, with the Current and Available Balances.
The Current Balance is the Leave management ledger balance. The Available Balance is calculated as the Current Balance minus any leave that has been submitted, approved and processed.
You can create a new leave request for an employee by clicking New Request in the right column of a report line.
The on-screen view of the Leave Balances report for Admins will include:
- Leave Type
- Current Balance
- Available Balance
You can export the Leave Balances report as a .pdf or .csv. The .csv download will include all on-screen data as well as the Employee ID and Leave Liability GL Code.
Employees can view their own leave balances in Leave > Leave Balances. They'll be able to see the current leave balances for any leave categories that have been assigned to them.
Leave balances can be exported by an employee in either .pdf or .csv format.
Leave Approvers can view leave balances in Leave > Leave Balances. The report will include the leave balances for any employees assigned to them for leave approval.
Each leave balance line will show the category name, current balance and available balance.
They can export the leave balances as a .pdf or .csv.
Recruiters can view the Reports > Payroll > Leave Balances report. The recruiter version of the report will only include employees who have been linked to them, with a separate line for each different leave category assigned.
