Overview
Rule groups and rate cards are assigned to employees’ jobs in the Job Details tab of their profile. Each job assigned to an employee can be linked to one rate card and one rule group at any time.
While rule groups and rate cards are most commonly assigned in the Job Details tab, you can also assign these in the Occupation Library or on a Customer profile.
Assigning a rule group or rate card on a Customer will also allow you to select the 'Customer Settings' option on an employee's job. This will apply whatever rule group or rate card has been set for the specific customer related to that job.
Assign a Rule Group to a Job
Rule groups are assigned to employees in Users > Employees > select employee > select job > Job Details, and will need to be assigned separately per job.
The Rule Group field will show which rule group is currently selected, and it will be marked with an asterisk ([*]) to indicate that it is currently active for the job.
To edit the Rule Group, click into the field to activate the dropdown list. From here, you can select one of the default values listed, or search for additional rate cards.
By default, you’ll see:
- the currently assigned rule group, which is marked with an asterisk ([*])
- ‘None’, where no rule group applies
- ‘Customer Settings’, which will apply the rule group that is set on the Customer linked to the job.
Please note that if the current Rule Group is set as Customer Settings or None, you’ll only see these two options by default, with the active selection marked with an asterisk.
Search for a Rule Group
To set a rule group that isn’t in the default list, you’ll need to type a minimum of 2 characters in the field to initiate a search. The system will display all matching rule groups, based on the Name or Group that has been set in Config.
Rule groups will populate in the dropdown list as (Group) Rule Card Name where:
- (Group) is the Group value entered in Config. The parentheses will be blank if no Group has been assigned.
- Rule Group Name is the name of the Rule Group in Config.
Results that match your query will be sorted alphabetically by Group, with any rule groups with a Group value at the end of the list.
Once you’ve searched and selected the relevant rate card, click Save to apply the changes.
Assign a Rate Card to a Job
A rate card is assigned to an employee for each job that they have been assigned, in Users > Employees > select employee > select job > Job Details.
The Rate Card field will populate with the rate card that is currently set for the job, which will be marked with an asterisk ([*]) to indicate that it is active.
Clicking into this field will activate the dropdown list, so that you can select one of the default values or search for additional rate cards.
By default, you’ll be able to see:
- the currently assigned rate card, which is marked with an asterisk ([*])
- ‘None’, where no rule group or rate card applies
- ‘Customer Settings’, which will apply the rule group or rate card that is set on the Customer to the job.
If the Rate Card field for a job is set to Customer Settings or None, these will be flagged as the current selection.
To search for another rate card, enter a minimum of 2 characters in the field. The system will display all matching rate cards, based on their Name or the Group value that they have been assigned in Config.
Rate cards will display in the dropdown list in the format of (Group) Rate Card Name where:
- (Group) is the Group value entered in Config. The parentheses will be blank if no Group has been assigned.
- Rate Card Name is the name of the Rate Card in Config.
Matching search results will sort by Group, then any rate cards without a Group.
Once you’ve searched and selected the relevant rate card, click Save to apply the changes.
