Overview
Leave categories can be configured to allow for files to be attached when a leave request is created, enabling employees or contractors to submit supporting documentation when they request leave.
This setting also enables administrators who are creating leave requests on behalf of an employee to attach files.
Enable File Attachment for a Leave Category
The file attachment setting for leave categories is managed per category, in Config > Leave > Leave Categories, by ticking or deselecting the 'Allow File Attachment' checkbox towards the bottom of the list of settings.
You can tick the checkbox when first setting up a new leave category, or toggle the setting at any time for your existing leave categories.
Please note that this is managed at a portal level, so enabling or disabling file attachment will apply each option to all users.
Attach Files in a Leave Request
When file attachment is enabled for a leave category, the option to add a file will display in the confirmation screen of a created leave request.
Files up to 5MB in size can be uploaded in the following formats: .jpg, .jpeg, .png, .bmp, .pdf., or .doc.
To attach a file to a leave request:
- Click Add
- In the popup window, click Choose File and locate the file that you would like to attach to the request.
- Click Add.
Successfully attached files will display in the Attached Files section, and the History section of the request will update to reflect that the file has been attached.
To remove an attached file, click the red X icon to the right of the file name.
View Attached Files in a Submitted Leave Request
When you view a leave request as an administrator or approver in the Leave Requests report, the Attached Files section will display on-screen with a list of all files that have been attached. Clicking on any of the files in the list will initiate a download so that you can review the attachments.
Please note that all users with access to leave requests in the portal will also be able to access file attachments.
Attached Files and Approver Emails
Emails that are sent to approvers to notify them of leave request submission will indicate if there is a file attached to the request. This information appears below the bulleted summary of the request, so that the approver can log into their portal to review the attachment before approving or rejecting the request.
