Overview
The timesheet attachment functionality allows users to upload files in particular formats (.pdf, .jpg, .png or .gif) and attach them to their timesheet. Additionally, timesheets in a Pending Submission status can have .xls, .xlsx, and .csv file types attached.
This can be useful for providing important information or instructions that may impact how an employee should be paid.
The timesheet attachment functionality is not switched on by default. If you would like this to be available for timesheets in your portal, please contact our Support Team.
When enabled, the Attached Files section will appear in the right column of the timesheet.
Attach a File to a Timesheet
There are two ways to attach a file to a timesheet:
- Click ‘Add’ in the Attached Files section, then select the file and click Open; or,
- Drag the file onto the timesheet and drop it on the highlighted area.
Once you've uploaded the required files, click Save to attach them to the timesheet.
To remove an attached file, click the x to the right of the file name.
View Timesheet Attachments in the Timesheet
Once a file has been successfully uploaded, it will appear in the Attached Files section in the right column of the timesheet. To access a specific file, click on the file name. This will download a copy of the file to your desktop.
View Timesheet Attachments in Pay Conditions
Timesheets that have files attached will be marked in the Payroll > Pay Conditions > Pay Conditions report with a paperclip icon to the left of the timesheet date.
You can expand a timesheet line by clicking the + icon, which will display the current pay condition interpretation for the timesheet as well as a list of attached files. To access a specific file, click the file name and it will open in a new browser tab.
If there are more than three files attached to a timesheet, you'll have the option to 'View More' which will redirect you to the original timesheet. From here, you can access the full list of attachments for that timesheet from the Attached Files section.
