Overview
The Reports > User > IRD Validation Report will display in any portal that has the New Zealand regulatory region enabled.
You can use this report to confirm if employees have any data missing in their profile which will impact your ability to submit PayDay files.
This report will not automatically run when you open it. You will need to apply the relevant filters from Report Settings before any report data will populate. You can apply the following filters to the report:
- Permission Group
- Employee name
- Exclude employees not paid in tax year
- Include Inactive or Archived Users
- Financial Year
- Employment Start Date
The IRD Validation Report will only include data for employees with validation errors. Employees with completed data will not appear, regardless of the filters that you apply.
On-screen Columns
The IRD Validation Report will show the following data on-screen:
- Employee Name
- Number of Validation Errors
- IRD Number
- Tax Code
- Address
- Suburb/Town
- Post Code
- Email Address
Report Validations
The validations that appear in the IRD Validation Report will check that each employee has the necessary data entered in their profile so that you can successfully submit PayDay files to the IRD.
To view the errors associated with an employee, click on the number in the Error column.
IRD Number | If IRD Number does not meet IRD algorithm requirements or has not been set, the error 'IRD Number is invalid or missing' will show |
Tax Code | If a Tax Code is not set on the employee profile, the error ‘Not set’ will show |
Address | If a Address is not entered on the employee profile, the error ‘Not set’ will show |
Suburb/Town | If a Suburb/Town is not entered in the employee profile, the error ‘Not set’ will show |
Post Code | If a Post Code is not set on the employee profile, the error ‘Not set’ will show |
A valid email address should be entered on the employee profile. The email address must not contain any additional spaces or illegal characters.If the email is invalid or has not been entered, the error ‘Email address is invalid or missing’ will show. |
Export Options
You can export the on-screen view in .pdf format or a summary of the report in .csv format. The .csv file contains the following columns:
- MID
- Employee Name (Surname, First Name)
- IRD Number
- Tax Code
- Address
- Town/Suburb
- Post Code
- Email Address
- Validation Errors (pipe separated for multiple errors)
