Overview
A payroll journal is created in MYOB for each pay run that is exported from Astute. If there are multiple pay runs available for export from Astute, these can be exported at the same time but will be processed as separate journals in MYOB.
Each line item in a payroll journal will include:
- a GL Code.
- a Description, based on the Pay Item in Astute.
- Job Codes and Categories, if these have been set.
Exporting Payroll
A pay run is available for export to MYOB once it is in a Paid status (ie the bank file has been exported). This applies for PAYG and Supplier pay runs.
To export payroll data from Astute to MYOB:
-
Go to Reports > Integrations > MYOB Integration.
-
If your portal has multiple entities, confirm that the correct Billing Entity is set in the Report Settings > Billing Entity drop down list.
-
Click Export > Export Payroll.
-
Enter your my.myob login details into the MYOB window to link. You will be taken back to Astute.
-
Filter again for the date range needed.
-
Select the export again.
- Choose the MYOB company file from the drop down list that appears on screen.
Note: steps 4-7 only need to be done the first time you export that day, as we need to obtain a token from MYOB. Subsequent exports will be able to use the same token. The tokens last between 30 minutes and 12 hrs depending on what you select on the my.myob login screen.
A message confirming the success of an export will appear in the MYOB Integration screen. Successfully exported items cannot be reset for export again.
The exported items will appear in the Export History report. Items which have failed to export will be listed in the Export History report as ‘failed’. Please note, you can not reset or delete successful MYOB exports from this report.
Identify a Journal in MYOB
The Narration is the name given to a journal that is created in MYOB after an export. This is formatted for each journal as ‘Astute Pay run [Pay Run ID]’. For example:
- a pay run with the ID 41 would appear in MYOB as ‘Astute Pay run 41’.
- a Supplier pay run with the ID S1 would appear in MYOB as ‘Astute Pay run S1’.
Payroll Tax in a Journal
The Payroll Journal that is exported to MYOB will include a line for Payroll Tax, with the value defined as per the Payroll Report - Attributable Costs export.
The Payroll Tax value is an attributed value only and will not consider thresholds or exemptions so you may need to make manual adjustments to the total liability in MYOB.
